Centralizing Company Culture: HR & QMS Employee Portal

A centralized internal knowledge base and communication platform designed to replace fragmented WhatsApp & Gajiapp announcements. This dual-sided intranet empowers employees with company resources while giving HR and QMS teams a robust CMS to manage SOPs, memos, and organizational updates.

Fragmented Communication & Lost Knowledge

As the company scaled, the Human Resources team relied entirely on WhatsApp groups to share critical organizational updates, such as new hires, terminations, and role mutations. This approach was unsustainable.

Important Standard Operating Procedures (SOPs) and official memos were easily lost in endless chat histories. This created a fragmented company culture and made it nearly impossible for employees, especially new hires, to find a reliable "single source of truth" for company policies and organizational structure.


A Unified Digital Headquarters

I designed Portal Karyawan (Employee Portal), a comprehensive intranet that shifts internal communication from informal chat apps to a structured, professional platform, in one month. The portal serves as a digital headquarters, bringing together company culture, news, and critical operational documents into one accessible ecosystem.

Architecting a Dual-Sided HR Platform

  • The Compliance Hub (SOPs & Memos): The most critical feature. I created a dedicated, highly searchable repository for official documents. HR and QMS (Quality Management System) teams can now confidently distribute SOPs and Memos, ensuring all staff have instant access to up-to-date compliance protocols.

  • Dynamic HR Announcements: Replaced chaotic WhatsApp blasts with a clean homepage banner system and article feed to professionally announce new hires, role mutations, terminations, and employee birthdays.

  • Fostering Company Culture: Designed an interactive "About Us" module featuring the company's milestones, vision, mission, core values, organizational structure, and an offline store directory to build a stronger sense of belonging.

  • Admin CMS (Role-Based Access): Engineered a secure backend tailored for HR and QMS staff. The CMS allows non-technical users to easily draft, upload, and manage sensitive company content independently.

Structuring Complex Organizational Data

The core design challenge for this project was Information Architecture (IA). Before designing the interface, I had to map out how to organize highly formal documents (SOPs) alongside casual cultural updates (birthdays, photo albums) without the platform feeling cluttered.

I utilized a modular design approach, separating the "Knowledge Base" (documents) from the "Social Feed" (news and banners). By establishing clear user roles early on, I ensured that the HR and QMS teams had distinct publishing workflows that didn't overlap or interfere with each other.

High-Fidelity Execution: Balancing Culture & Compliance

Intranets often suffer from feeling outdated or overly bureaucratic. My goal for the high-fidelity UI was to create a modern, welcoming space that employees wanted to check daily, while maintaining the clean, professional aesthetic required for official QMS documents.

Using our established component library, I moved directly into high-fidelity design to rapidly test the layout with the HR team.

  • Progressive Disclosure on Leaderboards: To keep the homepage UI clean, I designed a dual-tier leaderboard (Store & Individual). Users see a clean ranking by default, but can hover over the "Detail" button to reveal a tooltip with exact metrics like Sales Target, Revenue Performance, and Completion Percentage.

  • Contextual Competition (Global vs. Local): For the Individual Sales Leaderboard, I designed a modal that allows sales staff to toggle between "Store" and "Global" views. This specific logic empowers employees to see how they rank against their immediate colleagues, as well as their standing across all national branches.

  • Visual Hierarchy & Card Design: I utilized a modular, card-based UI. This allowed me to present different types of content (a celebratory birthday announcement vs. a mandatory SOP update) in the same feed, using distinct visual weights to differentiate them instantly.

  • Typography & Readability: Because this platform hosts long-form articles and SOPs, I optimized the typography for sustained reading, utilizing ample white space and high-contrast text to reduce eye strain.

The Impact: Securing the Single Source of Truth

The launch of Portal Karyawan successfully migrated all critical company communications off WhatsApp and into a secure, searchable environment. It eliminated the "lost in the chat" phenomenon for vital SOPs and Memos, vastly improving cross-departmental transparency. Ultimately, the portal gave the HR and QMS teams a scalable, professional tool to manage compliance and nurture company culture as the business continues to grow.
